Administrative Assistant - Political Science, Sociology/Criminology, and Chemistry/Physics will provide complex secretarial services and administrative assistance to the Departments of Political Science, Sociology/Criminology, and Chemistry/Physics including management of several processes within two offices. Responsibilities of the position require efficient application of administrative and communication skills, in particular strong writing skills, as well as a moderate degree of decision-making, initiative, and independence of action.
The Administrative Assistant will serve as the first point of contact for general inquiries, directing visitors and calls to appropriate personnel, maintain office files, databases, departmental calendars, and student records, and prepare reports, proofread documents, and assist with assessment reporting. This position will coordinate department events, including scheduling spaces, ordering supplies, arranging refreshments, and managing setup and teardown.
The Administrative Assistant will assist with creating and distributing departmental newsletters, flyers, and brochures, update departmental websites and promote advising schedules and program updates, and post, hire, and supervise student workers; manage timesheets and onboarding. This position will process purchase orders, requisitions, invoices, and duplication requests, and support faculty with registration, advising periods, mailings, and special projects.
The Administrative Assistant will reconcile departmental budgets and maintain inventory of office supplies, coordinate speaker and candidate visits and assist with part-time faculty onboarding, and occasionally proctor student exams and gather honor society data.

Minimum Qualifications - Graduation from high school or an equivalent combination of education and experience. At least three years of secretarial experience; office management experience preferred. Strong typing/keyboard skills including the ability to type with speed and accuracy.
- Strong writing and communication skills.
- Demonstrated efficiency in utilization of word processing, report writing, spreadsheet, and database programs including Microsoft Office software (Word, PowerPoint, and Excel) and Google Apps (Gmail, Drive, Docs, Sheets, etc.).
- Working knowledge of Adobe Acrobat and PDF documents
- Ability or aptitude to use an integrated database such as Banner, PRISM, Oracle, Stellic, Dynamic Forms, and Degree Works
- Must be able to maintain confidentiality.
Preferred Qualifications - Bachelor's Degree or equivalent.
- Prior experience in a college environment.
- Experience in web editing.
