Position - Assistant Property Manager

Location - Austin, TX

Salary - $60-$70k/year

Schedule - Monday - Friday 8am-5pm

JOB SUMMARY:

The Assistant Property Manager supports the Property Management team in the daily operations of a commercial office and/or industrial real estate portfolio. This role provides advanced administrative and operational support while also playing an essential role in property accounting functions, including assisting with annual budgets, CAM reconciliations, monthly accruals, financial reporting, and general ledger review. The Assistant Property Manager also contributes to team development by assisting with the onboarding and training of Property Assistants to ensure consistency, accuracy, and best practices across the management platform. The ideal candidate is detail-oriented, proactive, and committed to delivering exceptional service to tenants, vendors, and ownership groups.

KEY RESPONSIBILITIES:

Accounting & Financial Support

  • Assist with preparation of annual operating budgets, including gathering historical data and vendor proposals.
  • Assist with preparation of year-end CAM (Common Area Maintenance) reconciliations, including preparing tenant statements.
  • Prepare monthly accruals.
  • Assist with monthly financial reporting packages for ownership review.
  • Review general ledger (GL) activity for accuracy and research discrepancies.
  • Process and code property invoices, ensuring accurate GL allocation and budget compliance.
  • Support accounts payable (AP) and accounts receivable (AR) functions.

Property Operations & Administration

  • Maintain tenant and vendor records, service contracts, and compliance certificates.
  • Coordinate building access systems; issue and deactivate access cards as needed.
  • Assist with tenant utility bill backs and expense recoveries.
  • Support vendor bid processes and contract administration.
  • Ensure adherence to company policies, property procedures, and lease compliance.
  • Prepare and distribute tenant communications, building notices, and reports.

Tenant & Vendor Relations

  • Provide excellent customer service and respond promptly to tenant inquiries and service requests.
  • Assist with tenant move-in/move-out coordination and documentation.
  • Coordinate routine vendor services and follow up on work orders.
  • Participate in building inspections and help manage preventive maintenance schedules.

Team Support & Training

  • Assist with the onboarding of new Property Assistants.
  • Provide training and mentorship on systems, procedures, and best practices.
  • Serve as a resource for administrative processes, software tools, and portfolio organization.
  • Help maintain consistency across management processes and documentation standards.

Special Projects

  • Assist with property inspections and reporting.
  • Support capital improvement projects and operational initiatives.
  • Participate in emergency preparedness planning and communications.
  • Lead tenant appreciation events from coordination to execution.

Job Type: Full-time

Pay: Based upon experience (1-3 years of commercial property management or commercial real estate experience preferred)

Qualifications:

  • Strong understanding of budgeting, CAM reconciliations, and financial reporting preferred.
  • Proficiency in Microsoft Office Suite (Excel required).
  • Software requirement: Yardi preferred.
